team.blue is seeking 👀 a Payroll Specialist to join our Finance Team in Leiden.
The payroll function within team.blue Netherlands is a self-starting function who operates as a bridge between HR and Finance. Your main responsibility is to ensure a smooth payroll process from start to end in an environment where knowledge and automation go hand in hand. Therefore you have the possibility to pro-actively improve and automate the process of pay-rolling. You will work in the HR team of NL, reporting to the HR Director NL, colleagues: 3 HRBPs, HR specialist (admin), internal communications & Talent Acquisition. Once a week you are expected at the office, namely on the Monday which is the HR team day.
What your day will look like👌🏻
Your month is split into two parts. In the first two weeks of the month your focus is on finalizing the financial parts of the process. The main tasks during this period are creating and booking the salary journal and delivering the balance sheet specifications of the salary GL accounts. Also you handle the mutations for the pensions of the employees.
In the last 2 weeks of the month your focus is more on the HR related part of the process. In these weeks you are handling the mutations from Exact Synergy to Loket. You check all data on correctness and completeness and add extra data where needed. You answer any payroll related questions from employees. The most contact in these weeks is with the HR department to ensure proper and timely delivery of the payroll. Examples of the mutations are ensuring new employees are registered properly, resigning employees are registered properly (including the creation of the final pay slip, changes in hours, registering parental leave, declarations). After this work the salary run is created and you create and send the income tax statement to the tax authorities. We have recently implemented a new HR system (HiBob), in which payroll will also become an important part and the payroll specialist will play a key role in the roll out.
Next to these 2 specific splits in responsibilities during the month, there are also ad-hoc questions that you need to handle next to the day-2-day work. These questions are coming from the business and are related to Dutch fiscal and social law related to salary administration. You advise HR and Finance on the salary related topics as well as delivering the payroll documentation for the annual audits. Furthermore, you act as the main point of contact for our pension funds. You process and check changes, monthly payroll run, reconciliation with payroll journal entries (with finance).

You describe yourself as a person who picks up tasks quickly and you are used to a fast passed environment. Both the automation of our processes and the legislation in your field are constantly changing, which means that you have to adjust your working method a little bit every time. You can work in a structured and precise way, have an eye for detail and you like to work with diverse kinds of people. As a payroll administrator you have daily contact with both the HR and the Finance teams in person, by e-mail or digital meetings. We are looking for a strong communicator; you can articulate your questions clearly and can answer the questions in an understandable way for your stakeholder.
- Minimum requirement: PDL (Praktijkdiploma loonadministratie)
- 3 to 5 years of independent payroll specialist experience
- Couple of years of experience working independently with monthly payrolling, employee insurance and pension administration
- You have experience with payroll software such as, SD Worx, ADP, AFAS, UNIT4
- You have experience with Exact Financials and Loket
- Basic knowledge of social legislation and basic labour law
- Dutch and English language is required for this role
- You are a self-starter
